Key Responsibilities:
Calendar & Schedule Management: Manage complex calendars, schedule meetings, anticipate conflicts, and prioritize appointments across time zones.
Communication & Gatekeeping: Screen calls, emails, and visitors; draft correspondence; manage information flow; act as a professional buffer.
Travel & Logistics: Arrange domestic and international travel, accommodations, and detailed itineraries; manage last-minute changes.
Meeting & Event Support: Prepare agendas, presentations, briefing materials; take minutes, track action items; coordinate logistics for meetings/events.
Document & Presentation Prep: Draft, edit, and format reports, memos, presentations (Word, Excel, PowerPoint).
Information & Records Management: Maintain filing systems, manage databases, safeguard sensitive information, ensure data accuracy.
Financial Support: Process expense reports, manage invoices, handle basic bookkeeping.
Project Support: Assist with special projects, conduct research, and provide data for decision-making.
Qualifications & Skills:
Proven experience as an Executive Assistant or similar role.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Exceptional organizational, time management, and multitasking skills.
Strong written and verbal communication skills.
High level of discretion, confidentiality, and sound judgment.
Proactive, resourceful, and able to work under pressure in a fast-paced environment.
